What’s the best way to tell tenants about a problem, an update or a promotion in a small shopping centre?

For occasional messages, use the phone, email or group chat you already have. When tenant reports, updates and promotions get hard to find, use a shared report board for them and keep phone or email for urgent or private conversations.

What happens when messages arrive through different channels

A tenant posts a promotion in the group chat. Later, another tenant reports a leak outside Shop 12. If you need to find the promotion again, you may have to search back through the messages.

Texting works for a quick question. A group chat works when everyone needs to see the same update. A chat in the car park works when you happen to meet. The difficulty is remembering which conversation holds which detail after the messages have piled up. A photo may be in a text, the next update in an email, and the tenant’s original report in a conversation you had while walking through the centre.

You may still be able to manage that with a small number of shops and only a few messages. It gets harder when you regularly look in several places to find the original report or work out whether someone has replied.

Sort messages by what needs a record

Those messages can come by phone, email, text, a group chat or a quick conversation. You do not have to move every conversation into one system. Decide which messages need a record and a follow-up, then make sure you and the tenant know where to send them.

What you can review and update

Keep tenant reports and progress updates on the same board. You can open the description and photo, change the report status as you deal with it, and answer when a tenant asks. Tenants can check that status for themselves instead of sending another message.

Keep tenant ideas and promotions on that board too. You can return to an idea when you are ready to consider it, and refer back to a promotion after newer messages arrive. You still choose what gets shared and how to respond.

When a shared reporting page helps

If several staff share tenant communication, tools for marketing calendars and staff permissions may help. For a smaller team, first list what tenants send and what you need to be able to find or update later.

You may not need to move every conversation into a dedicated system. Keep calls, texts and email for messages you can find and follow as they are. Use a shared reporting page when you need tenants and management to refer to the same reports and updates.
